Hybrid meetings arent new, but as more people work remotely, its become increasingly important for businesses to make hybrid meetings just as collaborative as those based in the office. With the right approach, you can achieve as much, if not more. 

Problems with hybrid meetings 

Hybrid meetings involve some participants being present in the room while others “dial in” remotely. They have attracted negative sentiment for feeling awkward, “fake” or for being less productive.  

 

This can affect the level of engagement, motivation and even creativity of participants. Other concerns about the output from hybrid meetings include: 

  • Remote people not feeling listened to 
  • Poor conversation flow  
  • People miss personal contact and don’t feel comfortable 
  • It’s harder to keep people engaged when not in the room 
  • Too much reliance on adequate home internet connections 
  • Participation in a conversation can be harder for some 
  • Impromptu meetings are harder to arrange 

Despite these challenges, however, there are plenty of reasons to make them work. 

What are the benefits of hybrid meetings?

Before businesses had to use hybrid meetings in lockdown, they were choosing to take this approach because there are many advantages. 

They offer flexibility as technology allows for more than one option for getting together. They are also more convenient for many participants who don’t have to travel, saving time and money. Meetings aren’t limited to maximum numbers as venue size is no longer an issue. 

Meetings can be recorded, to be available to watch again; materials can be shared in real-time and worked on together; chat sidebars allow questions to be asked without breaking the flow of the speaker; and there are a range of tools, such as digital whiteboards, specifically designed to support collaboration in a digital environment.

The key to making the most of all the benefits of hybrid meetings and to facilitate collaboration is to adjust how they are managed, to account for the new environment. 

How to increase collaboration in your hybrid meetings

Ensuring they get maximum buy-in from hybrid team meetings, leaders and organisers should consider: 

 

  • Venue set-up. Ensure speakers and screens are in place so that everyone can be seen and heard. Make sure everyone knows how to use the tech and can log in so that meetings start promptly. When technical issues arise, they can be fixed swiftly rather than cancelling the meeting. 

 

  • Have an agenda. This lets people prepare for the meeting and receive notes in advance, so participants feel involved, engaged and prepared to ask questions and contribute ideas. 

 

  • Use a suitable digital meeting platform. There are plenty to choose from; Microsoft Teams is a great example of a meeting platform designed to drive collaboration among remote teams. It offers a range of tools from digital whiteboards to chat panels that help meetings to flow, and make sharing and working together easier, no matter where you are 
  • Using the video function. It can be tempting just to chat, but using video does make a conversation feel more personal and helps pick-up of non-verbal visual cues that help flow and understanding. 

 

  • No unnecessary meetings. We are probably all guilty of arranging a meeting when a different way of communicating information may be more efficient. Whether hybrid or not, meeting fatigue squashes collaboration more than being in front of a screen. 

 

  • Treat all participants equally. Everyone must have access to the same resources, opportunities to speak, and to be heard so that no one questions why they are on the call. 

 

  • Set clear boundaries. Being on time, turning on cameras, dress code, preparation etc ensures that everyone knows what’s expected and are ready to join in. 

 

  • Provide training. If IT is to be central to teamwork, ensure that everyone is trained to get the most from it. 

What type of tech should be covered?

When using a wide range of technology you need to ensure your IT support provider has the expertise to cover hardware, software, servers, cloud services, telecommunications, and mobile devices, to name a few.

A good IT company will also account for the fact that many workforces are rarely always based onsite and so a variety of locations and setups need to be managed.

What should I look at when choosing antivirus software

  • Cost. Many antivirus packages are available on a subscription basis, but even if you buy a boxed antivirus product, you need to replace it regularly if it’s not updated automatically, to ensure that it keeps pace with new threats, which becomes an ongoing cost.

         There’s a broad range of options and costs, with something in every budget, but be cautious of free antivirus software because it may be limited in the                             protection it offers. You may also be eligible for free antivirus protection from your systems provider, for example Microsoft Windows Defender is good if you                 have a Windows PC.

  • The threat. If you rarely use your device, you may not need the most comprehensive of antivirus software available. If you are running a business or using the web a lot, you may need something more substantial in the range of protection offered.
  • In additional to malware protection, your antivirus software may also provide a firewall, anti-spam filter and other features, such as parental control and file backup. Many of these can help build up the robustness of your protection and are worth considering.
  • Detection rate. You want your antivirus software to have a high detection rate to block a high percentage of malware, but this shouldn’t include detection of false positives.

         You also need to check that the antivirus software updates its database regularly so that protection against new threats is always being added. Regular testing             of malware by third parties and their subsequent reviews should help you to understand the success rate of an antivirus software and make an informed choice.  

  • Your antivirus software needs to be able to run within the hardware configuration of your device, so you need to ensure it can run the software without slowing the device down or compromising on performance.
  • Customer support services. You need assurance that the antivirus software provider is keeping on top of the ever-changing landscape of cybercrime by continuously developing solutions to combat it. They should be keeping your informed of safety issues and be easily available for support when needed.
  • Range of protection. Apart from managing a breadth of malware threats, antiviruses should be able to cope with a range of potential threat sources, such a embedded USB drives, malicious links in emails or infected devices.

         Ideally your antivirus will act proactively, not just treating issues once they’ve happened, which requires file scanning to check new files before you open them,             complete system scans that assess your entire device, and web browsing protection to filter URL links that may hide a threat.

  • Ease of use. You probably want the antivirus software you feel comfortable installing so that it doesn’t negatively affect your system. The software also needs to be easy to use and update.
