Microsoft OneDrive: Storage solutions for more modern IT

Utilising Microsoft OneDrive as part of your Microsoft 365 package can give you more freedom with your files, enabling you to access them on the go both safely and securely.

How does Microsoft OneDrive work?

Microsoft OneDrive won’t prevent you from locally saving files onto your computer. However, it will also save them in the cloud.

From here, you can then download the mobile app onto your phone or tablet to be able to open and edit those same files on the move. This means you can make changes from home, or even during the daily commute, if needed. By signing into Microsoft OneDrive on a different computer, you can also access these files.

When you return to your business PC, you won’t need to worry about needing to change the files to match the alterations made remotely. Microsoft OneDrive will synchronise those changes the next time you log into Windows and have internet access.

Who is Microsoft OneDrive suitable for?

While you may use Microsoft SharePoint for many of your work files, you may not want this on your personal computer, phone, or tablet as it can involve lengthy download times and slow down your devices.

Microsoft OneDrive can allow you to save specific files or folders into the cloud, meaning your storage space won’t get bogged down with files you don’t want, need, or use.

This means that it can be used by a variety of different people. Whether you are a student, sole trader, or part of a larger corporation, you could benefit from having file access on the move. This would align with your individual login, meaning you would need to login before being able to view them.

Why should I use cloud-based storage solutions?

A cloud-based storage solution won’t fill up your phone or other device with business files. This can lead to slow systems that may require support to clear and optimise. Being able to access your files when not in your office can help to make your working day that much more efficient, as well as track changes made.

In terms of disasters, you might also want to consider what you would do if your business computer broke or was stolen or corrupted in some way. You might also want to consider the fallout from any natural disasters, such as flood or fire. This may result in any data becoming permanently lost. With cloud-based storage, you could simply login elsewhere and re-download those files.

Microsoft OneDrive can be made more secure through the use of better passwords and setting up multi-factor authentication. This can be a good idea to implement across all of your accounts, not just OneDrive. 

What are the different levels of Microsoft OneDrive?

The Microsoft package you choose to use within your business may affect how much space you get within your Microsoft OneDrive. 

  • Microsoft 365 – this free plan comes with the mobile apps for Microsoft products, but not the desktop counterparts. Included is 5GB of cloud storage.
  • Microsoft 365 Basic – Includes mobile and desktop apps, as well as 100GB of cloud storage.
  • Microsoft 365 Personal, Family, Business – Each of these come with 1TB of cloud storage (per person if on a multi-user plan).
