Being more productive creates a sense of achievement, but it’s also becoming a necessity in the current economic climate. Here are five ways you can use IT to improve business productivity.
We are all busy; finding ways to get more done without working long hours is important. While there’s nothing you can do to create more hours in the day, IT can increase your productivity so you can get more from every hour.
There are many ways IT can increase productivity, but here are five we think can have the biggest impact:
Great communication is essential for driving individual and team productivity and IT enables us to communicate in new ways, even while we are on the go. It enables one-to-one conversation or mass communication with thousands at a time, anywhere in the world. IT now offers video which helps people feel more engaged.
Through communications we share ideas, give direction and update colleagues, to keep things moving and get things done. Technology provides many tools we can choose from as the most effective way in each circumstance.
Collaboration boosts productivity and IT provides us with easy-to-use tools that allow us not only to communicate with each other but to share documents, keep track of progress and share ideas in real time, no matter whether we are in the same room, in different locations or on the move. IT removes the barriers and friction from collaboration by providing an easy way to access shared resources.
Tools can automate processes to make them more efficient and save time without requiring your attention. This allows you to focus on tasks with a bigger impact on your strategic goals and enable you to do more productive work.
IT can produce lots of data very quickly and present it in a way that’s more readily understood. It removes the need to spend time wading through data yourself but allows you to spend more time analysing and using your data to inform better decisions.
IT can drive efficiency and collaboration. It can also help people feel empowered when they have the right tools to get the job done well. These drive engagement and when feeling engaged, people are more ready to rise to challenges.
If you’re not convinced that IT can improve your productivity, Microsoft Teams (available with Microsoft 365) is a great example of how it can help.
People initially thought of MS Teams as a tool for talking across the internet but during lockdown, when team members found themselves suddenly isolated and working remotely from each other, Teams became invaluable.
Not only did it let team members talk together, it increased the prevalence of video conferencing, offering break-out groups for syndicate or sub-team work, shared documents and organised files so that team members could continue working together concurrently on any document.
Teams also incorporates a virtual whiteboard so that brainstorming within a group could continue. Results could also be captured and progress recorded.
Without access to Teams, productivity when working remotely would have been severely impacted. Instead, it brought people together to communicate and continue their own work and progressing with projects.
Of course, Microsoft Teams isn’t the only IT platform to support productivity; Skype, Google Cloud, Zoom, Slack, Trello are all examples of tools used daily to support individual and team productivity.
A mark of the effectiveness of these platforms is the fact that even when lockdowns ended, their use continues to be high because businesses see their utility and appreciate the savings in travel time and cost that they represent.
