Telecom trauma: 5 common mistakes with your business phones

Telecommunications are vital for your business to be able to liaise with colleagues and clients alike. Not all providers may offer what you need to keep your business phones in optimum condition. Some may also operate in an unfair manner, leaving you confused, disappointed, or even out of pocket.

Managing your business phones

Quick navigation

Inadequate customer service

Poor customer service can be a big indicator that a telecom provider isn’t right for you. If you find it difficult to get hold of an actual person, are passed around between different departments, or find the people are rude or abrasive, you may want to consider taking your telecoms elsewhere.

Should problems arise with your telecoms, you want them to be rectified quickly. Spending minutes, or even hours, on hold waiting to discuss your issue severely impacts business productivity. Issues during your working day are already stressful enough without unhelpful or unavailable representatives adding to it.

Instead, look for a telecom provider with a track record of helping clients to solve problems with their business phones efficiently. Being able to contact your provider, either by submitting a ticket or calling, should be a simple process. A good provider would allow you to report your issue and then get on with other tasks knowing that your issue will be dealt with promptly.

Hidden fees or billing problems with your business phones

Your telecom bill should be standard each month. This should show your basic fee for line rental, as well as any optional extras that you chose to include within your package.

Complex bills that leave you feeling confused can be incredibly frustrating. A poor provider may also add hidden fees to your bill that you weren’t aware of. This is very poor practice and can greatly affect your experience and opinion of using a provider.

Likewise, a positive provider for your business phones will set out your invoice clearly, enabling you to see what is included and what is being paid for without hidden charges attached.

Poor network coverage

For many businesses, being able to discuss sales or operations via telephone is crucial. Inconsistencies can be aggravating for your team and may even lead to customers taking their business to a different provider.

Some places within the UK are known for having poor phone coverage. However, most locations, especially mainland UK cities, should be able to make and maintain phone calls without issue.

Dropped calls may lead customers to think that you have hung up on them, which can lead to negative feedback circling review pages and social media. Slow data speeds can also impede on your ability to get work done when operating remotely or on the go.

Rather than putting up with these as unavoidable, you should think about being proactive with your business phones and telecom usage.

Lack of transparency

It is expected that, when you set up your services with a telecom provider, some form of contract will be involved. When signing anything, you would then think that the terms would match what was covered within. A lack of transparency in the contract, including through the use of confusing jargon, could see you not receiving the services you wanted, or even being held under unfair terms.

A genuine telecom provider should make you aware of both your rights and obligations. Contracts and policies should be set out clearly, enabling you to see what you need to do to set up your plan, or your rights regarding cancellation.

Failure to keep up with evolving technology and needs

By the end of 2022, the UK came out on top of tech growth across Europe. This shows that businesses understand the importance of keeping up with the latest technological developments. However, if your telecoms provider doesn’t follow suit, you can find yourself with outdated hardware or connections that are no longer fit for purpose. Failure to undertake upgrades in a timely manner is also problematic.

Should your telecom provider be rather rigid about what they offer, or not allow you to gain better quality services until you renew, you might want to think about terminating that contract.

Instead, a telecom provider should grow alongside new developments, offering existing customers the opportunity to benefit from those improvements rather than stagnating.

Want to improve your business phones?

Your business phones should offer you all that you need, and more, to make connections with others. Rather than allowing yourself to keep using an inferior provider simply due to tradition and longevity, you might want to consider turning your attention to one who puts the customer’s needs first.
