How to tell if your IT provider is holding you back (not just fixing you up)

Something’s been nagging at you. Your IT gets fixed when it breaks, the invoices land on time, and on paper, everything works. Yet if someone asked whether your technology is actually helping the business grow, you’d struggle to say yes. 

If any of that rings true, it’s worth five minutes of your time. 

Most business owners don’t leave their IT provider because it’s terrible. They stay because it’s “fine”. And “fine” is exactly the trap. It’s what you settle for when nobody has ever shown you what good IT support looks like. So here are the signs worth checking, honestly, against your own setup. 

The signs your provider might be coasting 

Reactive support is easy to live with, because the problems do get solved eventually. The trouble is everything that isn’t happening in the background. Look out for: 

  • You only ever hear from them when something has gone wrong, or when it’s time to renew. 
  • Nobody at the provider seems to actually know your business or your plans. 
  • There’s no IT roadmap. No one has sat down with you to talk about where your technology is heading over the next year. 
  • Security is a black box. You’re told you’re “covered”, but you couldn’t say what that means or when it was last checked. 
  • Every improvement is something you have to chase, rather than something they bring to you. 
  • New questions, like how AI fits into your team, are met with a blank look. 

One of these on its own might be a minor niggle. But several of them together are a pattern, and a pattern usually means you’ve outgrown the arrangement you’re in. 

Why “fine” costs more than it looks 

The cost of coasting support shows up in the hours your team loses when something goes down and in the projects that stall because nobody planned ahead. It also shows up in the risks that build up while no one is keeping an eye on them. 

Because the bill looks reasonable and the phone gets answered, it’s easy to conclude everything is working. Often the most expensive problems are the ones your provider never raised with you at all. 

What a proper IT partner does differently 

A good partner spends most of its time on the things you never see. Day to day, that looks like the following: 

  • Your systems are monitored so slowdowns get caught before your team ever notices them. 
  • Your cyber security is actively managed and reviewed as a matter of routine. 
  • You have a named person who already knows how your business runs, so you’re never starting from scratch. 
  • There’s a plan for what’s coming, with regular conversations about where the risks are and how tools like AI could help your team work better. 

You don’t have to chase any of it. It’s simply part of the service. The difference shows up most clearly when nothing is going wrong. That’s when a good provider is doing its best work. 

Why this matters more than it used to 

Reactive support was easier to get away with when technology was simpler. Today, with most teams running on cloud platforms and Microsoft 365, and with security threats aimed squarely at smaller businesses, the gaps a reactive provider leaves are the gaps that cost you. 

There’s a wider trend worth noting, too. The State of UK Tech 2026 survey of business leaders found that growth is a primary ambition for around four in ten businesses outside the tech sector, with technology widely seen as the main engine to get there. 

The same research points to a widening gap between that ambition and the day-to-day reality of running the business. 

Your technology should be helping to close that gap. When it adds to the daily workload, that is usually a sign the support around it has not kept pace with where the business is heading.

  • You recognise the coasting picture, and it’s become clear that “fine” isn’t serving the business any more.
