The Best Office Setup for Employee Productivity

Want to boost employee productivity, satisfaction and health? Check out our tips on how to setup your office to create an environment that is both functional and boosts productivity.

Key Objectives and Benefits of an Effective Office Layout

Workplace performance is closely linked to the design of the work environment. A thoughtfully planned office layout can significantly enhance productivity and foster a more motivated and collaborative workforce. Additionally, an effective design maximises space utilisation, ensuring your office environment is both functional and efficient.

With this in mind, let’s explore these benefits further!

Boosting Employee Productivity through Thoughtful Design

A well-designed workspace can greatly improve employee morale and productivity—an approach often referred to as “office layout productivity.” For example, when employees can easily access equipment, resources, or collaborate with colleagues without unnecessary delays, they can accomplish more. Simple adjustments, such as strategically placing desks, equipment, or collaboration spaces, can make a significant difference in how efficiently tasks are completed. Here are some tips to consider when designing your office space:

  • If possible, create meeting rooms for cross-departmental teams to encourage collaboration and sparks innovative ideas. Equipping these spaces with integrated technology facilitates seamless information exchange.

  • Shifting your employees from isolated cubicles to open-plan layouts further promotes spontaneous interactions and impromptu brainstorming sessions.

  • Well-acclimatised workspaces with the right office amenities contribute to employee comfort, helping to reduce the risk of illness and promoting overall well-being.

  • Offering spaces for employees to unwind and recharge—such as a quiet reading nook or a calming green corner—supports their mental well-being. When employees feel happy and healthy, their productivity tends to rise, making this approach a win-win for both the individual and the organisation’s success.

Factors to consider when designing your office layout

  • Size and shape of the office
  • Number of employees
  • Type of work performed
  • Privacy Requirements
  • Budget

Mistakes to Avoid when Designing an Office Layout

  • Neglecting employee needs and preferences
  • Failing to take accurate measurements
  • Ignoring the need for storage space
  • Neglecting accessibility requirements

Now that we have considered the office as a whole, let’s look into the best solutions for individual desk setup.

There are two human factors to consider when thinking about workstation setup: Ergonomics and Anthropometrics. These terms refer to the study of how people interact with their environment, tools, and systems. Together, these disciplines aim to enhance user comfort, safety, and efficiency in various settings.

Anthropometrics and Ergonomics

Anthropometrics

Anthropometrics is the practice of taking measurements of the human body that provide data that can be used by designers. Anthropometrics help designers collect useful data, e.g. height when designing office chairs. As there is a large variation in height, the designer needs to build some function that adjusts.

Ergonomics

Ergonomics can incorporate the use of anthropometric data when designing products to improve the user experience. If a designer doesn’t use anthropometric data during the design process, it can lead to a poor user experience that causes discomfort, pain and potential injury. Ergonomics is a consideration that leads to a product being designed in a way to make it easy to use. Size, weight, shape, position of buttons and controls are all aspects that contribute to it being ergonomically designed (BBC 2024).

Tips to Create an Ergonomic Workstation Setup

  • Eye level at the top of the screen or 1 to 2 inches below
  • Position monitor roughly an arm’s length away
  • Use a height-adjustable chair with lumbar support
  • Elbows should be bent at 90 degrees or more
  • Wrists flat on the keyboard, use wrist rest if necessary
  • Hips and knees should be level, and thighs parallel to the floor
  • Feet flat on the ground, use footrest if needed

These tips are based on expert advice that help you create a healthy and comfortable posture for those who need to sit for long periods of time. However, you need to bear in mind that your employees might have specific needs that require extra equipment that supports their specific needs best.

Spending hours seated in the same position every day can take a toll on both your physical and mental well-being, leading to feelings of restlessness and reduced productivity. Get your employees to take frequent short breaks to combat stagnation and avoid hitting a creative or productive block.

To further support your employees in maximising their working day, ensure that you equip them with high quality tech. For example, consider the monitors, mouse, docking stations and headphones they’re using. Here are some tips to help you:

ergonomics and anthropometrics

1.Optimal screen size and resolution

When selecting a business monitor, screen size and resolution are key factors to consider. For everyday office tasks like word processing, spreadsheets, and web browsing, a Full HD (1080p) monitor between 22 and 27 inches is usually adequate. However, professionals in fields like graphic design, video editing, or financial analysis may require larger monitors with higher resolutions, such as 4K. These higher-resolution displays offer sharper details and more screen space, helping users manage complex tasks more efficiently and boosting overall productivity.

2. How should multiple monitors be positioned

Proper setup of multiple monitors, much like a single monitor, is crucial to prevent work-related musculoskeletal disorders. The goal is to minimise head and body twisting, as well as excessive eye movement.

If all your monitors are used equally:

  • Position the monitors directly in front of you, with their edges touching.
  • Arrange them at a slight angle, forming a semi-circle.

If you use one monitor more often:

  • Place the primary monitor directly in front of you, as if it were a single screen.
  • Position the secondary monitor to the side, angled to form half of a semi-circle.

In both setups, ensure the monitors are about an arm’s length away and at eye level.

Ultrawide and Curved Monitors:

  • A dual monitor setup isn’t the only option for expanding screen capabilities. Ultrawide monitors with a 21:9 aspect ratio are becoming increasingly popular among users who need more workspace. Ultrawide monitors address common issues with dual displays, such as the distracting bezel gap and colour inconsistencies between screens.

Curved design reduces distortion by projecting images directly at the viewer, allowing your eyes to take in everything comfortably.

3. Mouse for Ergonomic Setups

  • Choose an Ergonomic Mouse: Opt for vertical, trackball, or contoured mice to reduce wrist and forearm strain.
  • Proper Placement: Keep the mouse close to the keyboard and, position it at elbow height with a neutral wrist alignment.
  • Use Wrist Support: Mouse pads with wrist rests help maintain neutral wrist positions.
  • Alternate Hands: Switch hands occasionally to distribute strain evenly.
  • Leverage Shortcut Buttons: Use programmable buttons to reduce repetitive movements.

A well-chosen and correctly positioned mouse can significantly improve comfort and reduce injury risk.

4. How Office Chairs Can Help with Ergonomics

  • Support Posture: Look for chairs with lumbar support to maintain the natural curve of your spine.

  • Adjustability: Seat height and armrests variable and it should recline to relieve pressure on the lower back.

  • Cushioning: Use chairs with adequate padding for long-term comfort and pressure relief.

  • Material: Opt for breathable fabrics to prevent discomfort during extended use.

  • Swivel and Mobility: Choose chairs with swivel and caster wheels to reduce strain from twisting or reaching.

  • Head and Neck Support: For extended sitting, consider chairs with adjustable headrests.

  • Encourage Movement: Use dynamic chairs or add-on cushions that promote subtle movements and engage core muscles.

The right office chair can improve comfort, reduce fatigue, and prevent long-term health issues.

5. Docking Stations

  • Simplify Cable Management: Docking stations reduce clutter by connecting multiple devices through a single hub, keeping workspaces tidy and distraction-free

  • Support External Peripherals: Easily add ergonomic keyboards, mice, and other accessories to improve overall comfort.

  • Facilitate Multiple Screen Setups: Allow seamless multi-monitor setups, helping employees work more efficiently while maintaining ergonomic viewing angles.

  • Encourage Laptop Usage as a Desktop: By connecting laptops to full-sized peripherals, docking stations enable a desktop-like ergonomic setup while retaining mobility.

  • Promote Flexibility: Quickly transition between desk setups and meeting spaces without losing ergonomic configurations.

Docking stations streamline workflows and enhance workplace ergonomics by creating a more organised and comfortable setup.

office ergonomics

Integrating these guidelines into your workspace can boost employee well-being and productivity through thoughtful office design. By prioritising elements like open-plan layouts, collaboration zones, ergonomic furniture, natural light, greenery, and noise control, you create an environment that fosters creativity and job satisfaction. A well-tailored office layout that aligns with employees’ needs will lead to a more harmonious and efficient workplace, supporting both their well-being and your company’s success.

Once your office setup is optimal, you can start thinking about using productivity tools to ensure employee efficiency.
