All businesses want to avoid unplanned downtime and threats to business continuity; an office move is a very common cause of both, which is why it’s so important to spend time planning, preparing and executing your office move.

By breaking the move into a few key steps, you can cover the critical aspects of the move to be back up and running in your new office from day one.

The key steps to a smooth office move

  • Planning
 

Planning for a move sounds obvious, but the important point here is spending enough time on planning.

Before even the first box is packed, each stage of the move should be considered. 

For example, when is the best time to move? Are there periods in the work cycle that make a move less disruptive? What are your business-critical operations, and how will these be affected during the move? What changes to communications and IT infrastructure are needed? Who will manage the move? What’s the lead time for any new equipment needed?

Planning also includes visits to your new location to assess what’s already onsite, the existing set-up and how this compares to what you need. 

This will greatly affect the amount of time needed to make the new premises ready.

  • Review your IT systems
 

An office relocation is the perfect time to assess your IT and communication needs and upgrade where necessary so your new premises will be fit for purpose from the first day.

Consider where your current services and processes are not meeting expectations and the infrastructure you need to deliver the difference, both now and in the longer term.

If the move leads to an eventual change in staff numbers, how must you change your operating capacity and what does this mean for your IT infrastructure in the future?

Also, how does your IT infrastructure need to change to reflect the evolving strategy of the business? A move is a great opportunity to make these adjustments.

Planning ensures that you can highlight the changes that need to be made and to let providers know and prepare for the changes ahead.

  • Assess existing equipment
 

Now is the time to complete a full inventory of your IT and communications equipment.

This can then be assessed against your future business and IT strategy to decide what should be kept, what needs to be replaced and what should be introduced.

You must also assess your equipment against the needs of the new office in terms of the number of workstations you will have, how many power points will be needed, where equipment such as printers will be located, what cabling will be needed to support the IT and communications infrastructure?

  • Securing data
 

Planning for your business move is about ensuring business continuity; having contingency plans in place for delays, equipment breakages or security issues is essential to ensure minimal disruption. 

Backing up systems and data for anything not on the cloud will ensure that should anything happen, you can recover as quickly as possible. 

You should also transfer back up data to the new premises independently from the rest of your equipment.

  • The physical move
 

This will go a lot smoother if equipment being transferred is fully labelled, the floor plan is agreed so that equipment can be positioned on its arrival, and you have the inventory to check off the delivery of equipment.

Floor plans and inventories provide the “map” of the new office. In addition, this work will help you to see clearly in advance whether your new premises are ready for your arrival before the actual move.

When coordinating the physical move, you may want to run existing systems until the new ones have been tested and are up and running.
